Welcome to the Stall Booking Portal for the Heartless Crew Festival!

 

As we launch our very first festival, we're searching for stallholders ready to impress attendees with their delicious cuisines and unique products.

We're thrilled to offer a stage for both established and emerging talents in the food and merchandise sectors. Join us at the Heartless Crew Festival for an unforgettable celebration of music, food, love, peace, and unity.

If you think your stall will make a great addition to our festival then we would love to hear from you. Space and tickets for stallholders are limited

 

Who Can Apply?

We welcome both seasoned stallholders who have shined at other festivals and newcomers eager to present their culinary creations or special merchandise to an enthusiastic and diverse crowd. The Heartless Crew Festival is an ideal platform for showcasing your skills and goods.

After Submission

After submitting your application, our team will review it and notify you about your application's status, including stall space availability and further steps to secure your spot.

 

Please note, the final decision on stall allocations lies with the organizers.

Here's what you need to know to secure a pitch:

  • Fill in the stall application form below.

  • Due to high demand and limited capacity, if you do not receive a response within 4 weeks, your application has been unsuccessful. 

  • The Management Team will evaluate applications to determine trading opportunities.

  • Successful applicants must pay the pitch fee by Monday, 8th April 2024.

Security Measures

Overnight security is provided, but stallholders are responsible for their stalls/vehicles.

Size & Costs

All stallholders must bring their own gazebo, tables, and equipment.

Sponsorship Packages
 

We welcome sponsorship from our local and non-local traders. If you are a big company with a large national and international reach you will only be able to attend the festival as part of a sponsorship package. 

 

Our Sponsorship Package is a great way to get some added promotion for your business.

The Package Includes:

  1. Flags around the event including your logo & branding

  2. Social Media Posts leading up to the event on our Social Media Pages

  3. Full write-up on our website with links to your social media and website

Stall Restrictions

  1. Selling drinks, alcohol, cigarettes, or tobacco is not allowed unless approved in your application.

  2. To maintain diversity, we limit the number of similar food or drink stalls. Those not selected will join our waiting or cancellation list.

  3. Failure to pay by 8th April will lead to your pitch being offered to those on our waiting list.

  4. Stall pitches are allocated based on merit. Include detailed information in your application of your stall and products.

  5. List all items you plan to sell on-site. Apply separately if you require more than one pitch

  6. The appearance of your stall and the goods you plan to sell are important. You must upload photos of your stall and products during the online application process.

Application process

APPLICATION
Begin by completing the stallholder application form. Applicants should be prepared to provide samples and detailed information about their offerings.
ASSESSMENT
We will conduct a thorough review of your application.
We'll then inform you about stall space availability. The organizers' final decision is binding.
OUTCOME
Successful applicants will receive a link to finalize their booking, including payment and document submission. Setup instructions will be provided later.

Your booking is confirmed once all documents are submitted, our Terms and Conditions are accepted, and your stall fee is paid in full.
